Manager/Assistant Manager /Coordinator – SRH Institute

1. Background

The Sexual and Reproductive Health (SRH) Institute of The Family Planning Association of Sri Lanka is expanding its training and awareness programmes in sexual and reproductive health. The Institute requires a dynamic professional to support programme coordination, student recruitment, operational administration, and promotional activities to ensure smooth delivery of training courses and outreach programmes.

2. Job Purpose

The Manager/Assistant Manager/ Coordinator will support the operational and administrative functions of the SRH Institute, with a strong focus on student recruitment/enrollment, programme coordination, promotional activities, and administrative follow-up.

This is primarily a programme coordination, marketing, administration, and client development role.

The role requires an individual who understands training programme delivery, participant engagement, budgeting processes, and effective coordination with internal and external stakeholders.

3. Key Responsibilities

Programme Coordination

  • Coordinate all training programmes and short courses conducted under the FPASL SRH Institute.
  • Support scheduling, participant registration, venue arrangements, logistics, and overall programme delivery.
  • Serve as the focal point for communication between trainers, participants, facilitators, and administrative teams.
  • Ensure smooth operational delivery of courses and awareness programmes.

Student Recruitment and Promotion

  • Lead student recruitment efforts for courses conducted by the SRH Institute.
  • Support outreach, promotional campaigns, and awareness activities to increase visibility of training programmes.
  • Assist in developing promotional materials, programme briefs, and communication content.
  • Liaise with prospective participants and respond to course-related inquiries.

Administrative and Financial Coordination

  • Prepare programme proposals and basic budgets for training and awareness activities.
  • Coordinate administrative documentation related to trainers, participants, and programme activities.
  • Process payments and maintain proper supporting documentation in line with organizational procedures.
  • Coordinate procurement and logistical requirements for programme implementation.

Resource Person Coordination

  • Maintain an updated roster of resource persons and facilitators.
  • Coordinate invitations, scheduling, and administrative arrangements for external trainers and consultants.

Monitoring, Reporting, and Follow-up

  • Maintain records of courses, participants, programme outputs, and related activities.
  • Support collection of data for monitoring and reporting purposes.
  • Prepare periodic progress updates and summary reports on programme implementation and resource utilization.

Communication and Liaison

  • Maintain regular coordination between the SRH Institute, the Bloom by FPA Sri Lanka clinic, and other units of the Association.
  • Represent the SRH Institute at internal coordination meetings and external forums as required.

4. Preferred Qualifications

  • A bachelor’s degree in Management, Business Administration, Public Health, Health or another relevant field
  • A postgraduate qualification in Public Health, Education, Management, or a related field will be an added advantage.

5. Preferred Experience and Competencies

  • Previous experience in programme coordination, student recruitment/enrollment, training administration, outreach, marketing, or business development will be preferred.
  • Understanding of training programme delivery and participant management.
  • Basic knowledge of budgeting, proposal preparation, and administrative procedures.
  • Strong organizational and coordination skills.
  • Good communication, networking, and interpersonal skills.
  • Ability to work independently and manage multiple tasks simultaneously.
  • Proficiency in standard computer applications, digital marketing tools and reporting.

6. Other Information

  • Reports to: Director – Sexual and Reproductive Health
  • Expected Start Date: Mid-June 2026
  • Type of Appointment: Full-time/Fixed term Renewable
